Under the supervision of the Chief Professional Resources Officer, the Associate Director of Knowledge Services (the “AD”) and the Manager of Knowledge Services (the “Manager”), the Knowledge Services Specialist (the “Specialist”) will assist with the day-to-day operations of the Firm’s Knowledge Services Department (“Department”), provide superior legal and non-legal research assistance to all Department clients, provide support on an as-needed basis to the Department team, and perform other duties as assigned.
Responsibilities
Department Operations and Resource Management
- Handle all aspects of onboarding new joiners at the Firm, including setting up access for key resources, sending welcome emails, and assisting with Department orientation and training
- Maintain Department resource user lists and use same to manage limited access resources
- Schedule regular and ad hoc vendor-led training sessions for attorneys, fall and summer associates and paralegals on variety of online resources
- Develop and maintain an in-depth knowledge of the Department’s electronic resources to facilitate resource support and management
- Provide support and technical assistance to resource end users, including but not limited to, (i) recommending appropriate resources, (ii) arranging resource access, (iii) responding to questions about resources, (iv) providing basic, ad hoc training; and (v) working with vendors and the Firm’s IT Department to troubleshoot and resolve technical issues
- Assist with administering (and participate in) resource demos, trials, audits, evaluations, testing, feedback collection, upgrades, implementation and roll-outs
- Assist with resource acquisitions and renewals, including assisting with data collection and analysis
- Keep up-to-date on new developments in the legal research community and technology as it affects the Department’s initiatives
- Complete Department and special projects, as assigned
- Assist Department colleagues and perform other general administrative duties, as needed
Research Services
- Provide sophisticated, effective, timely and cost-conscious legal and non-legal research and reference services to all Department clients across a variety of different practice areas using electronic, print and other sources
- Perform complex research and reference services that include, but are not limited to, (i) case law, statutory and regulatory research; (ii) compiling and researching within legislative histories; (iii) biographical research; (iv) locating and pulling requested articles, reports, court filings and other documents and materials; (v) locating relevant government reports and filings, including SEC filings; (vi) assist with setting up alerts in a variety of databases; and (vii) the procurement of information materials from outside the Firm
- Conduct effective and proactive in-depth reference interviews with Department clients to clarify the subject, scope and purpose of their request, as well as their desired deliverables and any cost and/or time constraints
- Distill, summarize and customize research results in order to meet the specific requirements of the Department clients. Provide research results as a clear and concise report of findings, where possible
- Strictly comply with and understand Firm policies and procedures, including but not limited to those relating to client and Firm confidentiality and information and data security
- Provide “Reference Desk” coverage as needed
- Enter all requests handled into the workflow tracking system
- Keep track of and bill time spent on client billable matters and comply with Firm’s daily time entry policy
Qualifications
- M.L.S., M.L.I.S. or J.D. from an accredited school, plus a minimum of 3 years of relevant experience at a law firm (or similar) performing sophisticated, complex legal and business research in a variety of practice areas, jurisdictions and information types
- Strong legal research skills including research of complex legal matters and a strong proficiency in using a wide variety of legal electronic and print resources commonly used in large law firms
- High professional standards and a commitment to providing quality work product and outstanding customer service
- Ability to exercise confidentiality and discretion, as well as independent and sound judgment
- Strong proficiency with technology commonly found in large law firms and ability to quickly learn and apply new technologies and workflows. Location: Syracuse, NY with travel required across the Northeast
Scope: The Reference Librarian (RL) will provide both legal and non-legal research assistance to the firm’s attorneys, billing time to client matters as appropriate. QUALIFICATIONS
- Master’s degree in library or information science from an ALA-accredited institution.
- Minimum of four years of library experience, preferably in a law library setting. Two years of progressively responsible supervisory experience that provided an opportunity to acquire skill in developing the interpersonal work relationships needed to lead a team of employees, the ability to exercise mature judgment, and knowledge of the basic concepts, principles, and theories of management, and the ability to understand the managerial policies applicable to the law library.
- Excellent interpersonal, organizational, analytical, and oral and written communication skills as well as a strong service orientation.
- Knowledge of legal resources and excellent legal research skills.
- Knowledge of word processing, spreadsheet, database, and publishing applications.
PREFERRED QUALIFICATIONS

Electronic Services Librarian – Syracuse University Law Library

Job Description: The Electronic Services Librarian manages all of the Law Library’s online legal information resources to support teaching and research at the College of Law at Syracuse University (SU). This librarian confers with other members of the Law Library collection development team to assess product needs, collaborates with colleagues at the SU Libraries on shared resources, and ensures continual access to the databases offered through the Law Library website and the library catalog. The Electronic Services Librarian supports the teaching and research of law faculty and Centers and Legal Clinics and is responsible for collection development in assigned law subject areas.
